Clarity. Insight. Confidence and safety — built into every moment.

At qualis digital, we believe people come first. You place the individuals you care for at the heart of everything you do — and we’re here to help you do the same for your organisation and your teams.

Our elegant technology is built on the understanding that every interaction matters. qualis digital has been co-designed with simplicity in mind: to help you deliver outstanding person-centred care and promote the happiness and wellbeing of the people you support — and the staff who support them.

With qualis digital, you don’t just manage care — you illuminate it.

Children’s homes Early years settings Outreach Short breaks Supported accommodation
“Safer, clearer” When something changes, the team needs to know straight away. Safeguarding needs, key risks and legal status stay visible to the people who need them, so decisions in high-pressure moments are informed ones — with clear evidence behind every action. Concerns raised anywhere in the system escalate through your own route, and nothing closes until the follow-up is actually done.
In your language Children’s services shouldn’t work in adult social care language. Every screen, plan heading and prompt uses the words your inspectorate and your teams actually use — so records read naturally and nothing needs translating for an inspector. Choose your framework once and Qualis structures plans, reviews and reports around it from day one.
Stronger outcomes Every child’s journey is different. Goals are set with the person, progressed in key working and evidenced as everyday care is recorded — so progress is visible over time and celebrating it is part of the record, not extra work. Certificates, sparkling moments and milestones all feed the person’s scrap book, building a story of achievement they can keep.
Statutory visits built in We know the statutory cycle because we work in it. Independent visits and oversight requirements are tracked for your service type — visible at a glance, not living in someone’s diary. Actions arising are assigned with owners and due dates, so the visit’s findings turn into fixes rather than a report in a drawer.
“Every voice heard” Children and young people should be heard in the way that comes naturally to them. The Qualis assistant turns spoken words — theirs, a professional’s, yours — into structured, person-centred plans and records, so consultation feeds the plan instead of sitting beside it. A disclosure is kept in the person’s own words, never paraphrased, and their voice runs through every review.
Domiciliary care Outreach Residential & nursing care Short breaks Supported living
“Well-evidenced” Adult social care runs on evidence — for CQC, for commissioners, and for services that sit outside regulation entirely. Care is captured as it happens, time-stamped and attributable, so every update builds a stronger, more reliable picture of the person over time without last-minute write-ups. Every entry is attributable and audit-trailed, so accountability is clear and inspections start from a position of strength.
More time to care Admin and duplication pull carers away from the people who matter most. Record once and it flows everywhere it’s needed — plans, notes and reports all connect — so teams spend their shift building relationships and delivering personal support, not re-typing the same information. Less duplication also means fewer errors and fewer conflicting versions — the record stays accurate because it’s only written once.
Ready every day Inspection readiness shouldn’t be a scramble. A live picture of what’s in place — arranged by CQC’s key questions — shows what’s slipping and what’s missing while there’s still time to fix it, so good practice is simply how the service already runs. When the inspector does arrive, the evidence is already organised in their language, drawn from the work your team does every day.
Reports in one click When information is easy to reach, teams act with confidence. Weekly summaries, incident reports and full histories are written, branded and ready to send — to a commissioner, a family or an inspector — without an afternoon of copy-and-paste. Accurate, up-to-date data also surfaces trends early, so concerns are addressed before they become findings.
One clear thread Safe decisions need the whole picture. Every record links plan to daily note to incident to report, traceable back to source — so needs, risks and changes are visible to the people who need them, whoever is on shift. Nothing sits in isolation: an update in one place carries through the whole record, keeping every version consistent.

Why Qualis

Built for care. Designed for change.

A complete digital ecosystem — not just another management tool. Built for providers who put people first and technology second.

The problem we solve

Paper files, spreadsheets, and disconnected tools that make care hard to manage. Managers are under pressure to evidence quality, meet regulations, and deliver person-centred care — all while juggling systems that don’t talk to each other.

qualis digital replaces that complexity with clarity. From frontline staff to senior leadership, everyone works from the same real-time information — reducing errors and freeing time for what truly matters: the people you support.

Always there, whoever is on shift

Knowing what a record means — who needs telling, by when, and what has to happen next — is a great deal to carry. Most care software leaves your team to carry it alone: it gives you somewhere to type, but it doesn’t know what any of it means.

qualis digital carries that knowledge for everyone. Whoever is on shift — a new starter, agency cover, a manager mid-handover — the system knows what each record obliges the service to do next, and makes sure it happens. Escalation, notification, chasing and closing work the same on a difficult Tuesday as on the best day of the month.

The Qualis advantage

Everything a great care service needs — built into one platform.

Every voice heard

The Qualis assistant turns spoken words — the person’s, the professional’s, yours — into structured, person-centred plans and records.

Regulator’s logic built in

CQC or Ofsted rules live inside the software — always there to help, no matter who it’s helping.

Greater confidence

Across teams and shifts — everyone works to the same standard, whoever is on.

Real-time data

Live dashboards that evolve as your team records notes, completes actions, or logs incidents.

One clear thread

Evidence triangulates itself — support plan to daily record to incident to report, traceable to source.

Time back for care

Summaries draft themselves and evidence assembles as you work — more time with the people you support.

Reports in one click

Weekly summaries, incident reports and histories — written, branded and ready to send.

Ready every day

Ofsted and CQC readiness built into everyday practice — not a scramble before an inspection.

Connected

Integrate with NHS and finance software for one intelligent view.

Running CQC? Running Ofsted? Running both?
This is who qualis digital fits best.

If you operate a children’s home and an adult supported living service, you’re probably running two systems, two sets of training and two sets of reporting today. Qualis serves both inspectorates under one umbrella — the terminology, statutory cycles, notification rules and compliance frameworks each adapt to the service type.

And one umbrella never means one pot of data: each service’s records stay fully separate, with access controlled by role and by service. Nothing from your children’s side is ever visible to your adult side, or the other way round — you simply stop paying for two systems.

One platform, two inspectorates

CQC and Ofsted services run side by side, each in its own regulatory language.

Separate by design

Records never cross between services — access is controlled by role and by service, always.

One bill, one training effort

One system to learn, one supplier to manage, one place your organisation’s picture lives.

Key features

Some of our key features — explore the platform for more.

Nothing gets forgotten At the heart of qualis digital is a purpose-built scheduling engine. Describe the pattern once — what, for whom, how often, how urgent — and the work appears on the daily log as a card waiting to be completed.
Thresholds on daily entries Set a threshold against any entry — if it’s missed, or not enough of something has been done, alerts go to the right people automatically.
Monitoring that watches the pattern Track how often things happen — key working sessions, for example — and get warned when one hasn’t been done as often as it should.
Reminds before, shows after Built so no member of staff forgets anything: you’re reminded before something is due, and if it is missed, it shows.
Maintenance & asset registers Log jobs, schedule safety checks and keep a live register of every asset — from boilers to fire doors — with renewal dates that remind you before they lapse.
Health & safety Walkrounds, risk assessments and safety checks built into daily routines — evidence captured as you go, ready for any inspection or investigation.
Qualis Messenger Instant messaging your teams already know how to use — with one crucial difference: the organisation owns every message. Secure, auditable, and never on personal phones.
Qualis assistant Talk plans, meetings and consultations straight into action — the assistant turns what was said into structured records, so hours of typing become minutes of checking.
Security that regulated care demands UK & EEA hosted, with structured row-level security governing exactly who sees what — access by role and by service, records never crossing between services, and sensitive material visible only to those with permission. Every customer receives our full security pack on signing.

The platform

Everything your service needs, all in one place

From safeguarding to staffing, outcomes to occupancy — a modular system. Choose what you need, scale as you grow. Every module fits into one secure, connected platform.

One platform, the whole service

qualis digital brings everything a care organisation runs on into one secure system — the care itself, the people who deliver it, and the governance that sits around it. Each area is a module you can explore in depth, but they all share one record, one login and one source of truth.

Because everything is connected, nothing is retyped: a daily note evidences an outcome, an incident updates a risk assessment, a new starter appears on the rota. That connection is the platform.

Care & support

The person at the centre

Support plans built with the person through care & support management, days recorded as they happen in daily records & handover, and concerns handled safely through incidents & safeguarding. Every entry links itself to the right goal, risk and support task — so the record tells one continuous story.

Operational

The service, running smoothly

Staff management keeps records, training and DBS current; rostering puts the right people in the right place; HR carries each person from recruitment to development; and visits & access control makes every arrival secure and every exit logged.

Governance & insight

Assurance without the admin

Inspection readiness keeps you inspection-ready every day, finance & occupancy gives clarity over every pound and place, reports & insight turns your data into insight, and security & technology protects it all with enterprise-grade hosting and access control.

Care & support management

Person-centred plans that live and breathe

Support plans, goals and daily records in one place — built around each person, updated in the moment, and evidenced without extra admin.

Care & support management

Most support plans are documents. Written at admission, signed off, filed, reviewed annually, and largely unread in between — while the care they describe happens from memory and handover. qualis digital makes the plan operational. Write how someone should be supported, and that support can be scheduled directly from the plan: it appears on the daily log as a task on the right day, carrying the risks, the goals, the step-by-step approach and the person’s own words with it. The carer doing the work sees the plan at the moment it matters. And what they record flows back, so the plan’s goals are measured against what actually happened.

Their voice, recorded. Consultations captured and locked, not paraphrased.

Schedule care straight from the plan. One button turns an action into recurring care on the daily log.

The plan reaches the carer. Risks, goals, steps, behaviours, equipment and the person’s voice travel with every task.

The record stays true. Instructions freeze onto completed entries; revise the plan without rewriting history.

Progress you can evidence. Outcomes against goals, backed by the daily record.

Outcomes
1Stage 1

Build the plan together

From plan to progress — one connected path: the plan sets the goals, the day-to-day evidences them, and progress takes care of itself.

Plans are fully customisable, so you offer care or support only in the areas each person needs. Choose the domains relevant to your service and Qualis applies the correct language and headings for your framework, so your plans are structured to meet the relevant legislation from the outset.

2Stage 2

Consult with the person & professionals

The voices of the person and the professionals around them are captured in whatever way works — spoken, written or any other method. The handy Qualis Assist button lets you select which consultation has been recorded, turns voice notes into written plans, and arranges written notes into the appropriate sections automatically.

3Stage 3

Person-centred in every episode

With identified areas of need and the support picker, every episode of care or support is truly person-centred. Gone are the days of spending hours writing pages — this is where you focus with the individual on what their support will actually look like.

Person record — plan sections from overview to identified areas of need
4Stage 4

Easy referencing

Outcomes, behaviours and risks are pulled together under one code for each support task — so everything that belongs together stays together. No more wondering what links to what.

5Stage 5

Everything connects

From there, everything connects. Goals and milestones are created directly from plan sections and flow into key working and one-to-one sessions, giving staff a clear focus for their time with the person. Any risks identified flow straight into the individual’s risk assessment.

6Stage 6

See the progress

My Outcomes brings it together for each person: goal areas, milestone completion, and the sparkling moments worth celebrating — all feeding their scrap book.

Incident reporting

Start recording in seconds. Finish to inspection standard.

Two taps opens a live incident record the team builds out as the picture develops — while qualis digital works out who needs telling, and holds the incident open until that’s done.

Incident reporting

When something happens, staff shouldn’t be wrestling with a twelve-page form. qualis digital starts an incident with two taps — who it involves, what kind of event it was — and opens a live record that the team builds out as the picture develops. Witnesses, injuries, body maps, emergency services, debriefs and follow-up actions attach as they happen, not retrospectively from memory.

Behind it, the platform works out which regulators, professionals and family members need telling, and when — then holds the incident open until that’s actually been done.

1Capture

Raise it from wherever you are

Incidents start where the work happens — one screen, one decision, and the record exists. From there it grows as the picture develops: witness accounts, injuries, emergency services and outcomes, each addition stamped with who recorded it and when.

Young person profile — previous incidents and report new incident
2Evidence

Evidence, not adjectives

Body maps that print as clear diagrams, behaviour captured as structured analysis, and physical intervention recorded minute by minute rather than described in a paragraph. Evidence a social worker, police officer or inspector can actually read — captured while it’s fresh.

Body map — injury documentation with marked injuries
3Escalate & notify

The platform tells you who to notify

qualis digital works out which notifications an incident requires and shows each with its deadline — nothing rests on somebody remembering. Actions, follow-ups, debriefs and documents merge into one chronological investigation timeline, and missing episodes follow their own structured path back to the original record.

4Close & learn

Closure you have to earn

qualis digital checks every assigned action is complete, required manager acknowledgements are given, and meaningful resolution notes are written. Only then does it close — and once closed, it’s locked as the record of what happened.

From there, one click produces a written, branded incident report ready for reviews and referrals — and across the organisation, the dashboard turns individual incidents into the patterns that show your service is safe.

Safeguarding reporting

Every concern captured properly. Every escalation traceable.

A direct route for any staff member to raise a concern — with the referrals and protective actions that concern type demands proposed immediately.

Safeguarding reporting

Safeguarding is everyone’s responsibility, and the reporting has to be simple enough that nobody hesitates. qualis digital gives any staff member a direct route to raise a concern — with the categories, the person’s own account, and the evidence all captured on one form — and then immediately proposes the referrals and protective actions that concern type demands.

Concerns raised elsewhere escalate into a safeguarding case without re-typing a word, carrying the original incident with them as source evidence. And risk is managed at the source: risks identified anywhere — in a plan, an incident or a concern — flow into the individual’s risk assessment, so it’s always current and never retyped.

1Raise

Raise a concern directly

Any staff member can raise a concern from one simple form — the category, the severity and the person involved, with a disclosure preserved in the person’s own words rather than paraphrased. Witnesses and body-mapped evidence attach to the same record, ready to accompany a referral.

2Respond

The platform proposes the right response

Choose the concern type and qualis digital proposes what should happen next — the referrals, protective actions and deadlines that category demands. And when a concern surfaces inside another incident, one action escalates it into a linked safeguarding case, carrying the original across as source evidence.

3Investigate & close

Investigate under access control

The investigation runs on one chronological timeline — actions, notes, meetings and documents — visible only to those with permission to see it. Required notifications are held open until made, and the case cannot close while anything is outstanding.

4See the whole picture

Oversight across the organisation

A live overview brings safeguarding and risk together: open concerns, risk assessment currency, on-time reviews and time to resolution — by service and across the organisation — so a designated lead can answer “what are we seeing, and did we do what we said?” without opening a single file.

The visitor book

Everyone who walks through the door, on one record.

Only authorised visitors get in — every visit booked, coded, signed in and signed out, with the full story in between.

Visits & access

A grandmother visiting her grandson and a gas engineer checking the boiler are different visits — but they’re the same question: who is on site, why, who authorised it, and what happened while they were here. Qualis handles both in one system. Visitors are authorised once — either against a specific person or against the home — then everything else runs the same way: an appointment, a private entry code, a self-service sign-in, a record of what happened, and a signed-out time.

Only agreed visitors can enter. When a contact is set up, any safeguarding rules are recorded against them — rules that can prevent a visit being booked at all, or flag a warning to staff the moment they arrive. No paper book, no illegible signatures, no wondering at 9pm who’s still in the building.

1Authorise

Add once, authorise properly

A visitor is a person, not a line in a book: record them once and they’re recognised on every future visit, with a full history. Nobody can be booked in without an authorisation on file — and any safeguarding rules set against a contact can block the booking or warn staff before the door opens.

2Book & sign in

Booked, coded, self-served

Visits are booked with a reason, a time and — where needed — a named supervisor. Each visit gets its own secure entry code that can be revoked in one click, and visitors sign themselves in at a kiosk by the entrance, every step stamped into the visit timeline automatically.

Visitor kiosk — welcome screen with 6-digit permission code sign in
3During the visit

What actually happened

A live list answers “who is in the building right now?” at a glance. Notes, findings and actions are captured against the visit itself, and visits to a person land on their daily log — with how it went, not just when it happened.

4Sign out & oversight

Nothing left hanging

Sign-out asks one simple question — how was the visit? — and unhappy answers reach a manager the same day. No-shows and forgotten sign-outs are tidied automatically, and the organisation-wide picture shows your visiting patterns whenever you need to evidence them.

In practice

A family visit

Mia’s nan is added once and linked to Mia as her grandmother. Visits are booked, and she signs in with her own code. The visit shows on Mia’s daily log, staff add a short report on how it went, and nan taps a smiley on the way out. Over time you can show — not assert — that Mia’s family contact is regular, supported and positive.

A contractor or professional visit

The gas engineer is connected to the home as a contractor with ID verification required. He signs in with a code, ID is checked and recorded, and his findings are logged as a building update with a maintenance action assigned to the maintenance lead with a due date. The visit is closed; the action isn’t, until someone does it.

Daily records & handover

Every shift, every moment, one timeline

Notes, photos and events captured as they happen — and a handover that writes itself from the day’s records.

Daily records & handover

The living record of each person’s day. Staff record in the moment, on any device — and every entry opens with a Heads up: the instructions, preferences and any associated risks drawn from the support plan.

At the end of the shift there’s nothing to write up: the handover builds itself from the day’s records, so the incoming team starts fully informed.

The daily log is where the platform meets the shift. Scheduled care arrives as cards waiting to be completed. Anything unplanned gets added in a few taps. Visits, appointments, meetings and key working sessions appear alongside, so the day reads as one story rather than four systems. Carers record what they see, in a form built for what they’re recording — and everything they capture flows straight into the weekly summary, the reports, and the compliance picture without anyone re-typing it.

From first note to fresh shift

One timeline carries the whole day — and hands it safely to the next team.

1Stage 1

One place to start the day

Daily logs are the centralised point for all daily care — every scheduled task and appointment for the person appears here. The Heads Up at the start gives staff an insight into what’s expected for the day, including any documentation due for update, so everyone knows their priorities before the shift begins. A full daily report can be generated in an instant, and those daily reports feed into detailed weekly summaries through our automated insights — more on that in Analytics and Reporting.

Daily log — person profile with the day’s scheduled tasks at a glance
2Stage 2

Record in the moment

Incidents and anything affecting the person’s care and safety are documented here too. Whatever a carer logs populates the relevant sections across the system automatically, so they can run their day from the daily log without worrying that records aren’t reaching the right places.

As staff record, the system surfaces guidance, preferences and risks drawn straight from the support plan — instructions relevant to the entry type, at the point they’re needed. Care stays safe and consistent whoever is on shift.

Daily notes, photos, milestones and key working sessions are captured as they happen. Each entry links itself to the right goal and the right support task, so nothing sits in isolation.

Daily notes timeline — entries recorded through the day
3Stage 3

Handover that writes itself

Each shift’s records roll up into a clear handover — what happened, what’s outstanding, and what the next team needs to know. What appears there is set by you: managers configure the rules during setup, so sensitive entries such as safeguarding concerns follow your own escalation route rather than populating automatically.

Handovers are available instantly from every user’s login screen, visible only to those with permission to see them.

Staff records & compliance

The file an inspector asks for, already complete.

One record per person — every check tracked to its renewal date, and the gaps visible before an inspection finds them.

Staff records & compliance

Every carer you employ needs a paper trail: identity, right to work, DBS, references, qualifications, induction, and training that hasn’t quietly expired. Most services keep that across a filing cabinet, a spreadsheet and someone’s memory — and find the gaps during an inspection.

qualis digital holds one record per person, tracks every check to its renewal date, and shows you at a glance who is fully cleared, who is missing something, and what expires next month.

1One file per person

Your whole team, one record each

Every staff member, searchable across every home, with one complete personnel file each — employment, documents, training, leave and debriefs in a single place. Leavers archive rather than disappear, because who worked here and what checks they had still matters.

2Safer recruitment & checks

A checklist that can’t be fudged

Onboarding runs as a staged safer-recruitment checklist that can’t be quietly skipped — references, DBS, right to work and qualifications each verified in turn. Renewal and re-check dates are tracked so the obligation lives in the system, not in someone’s memory.

Staff management — personnel record with employment, HR documents, payroll, training, recruitment, leave and debrief tabs
3Training & accountability

Training that tells you when it’s stale

A live training matrix shows what’s current, what’s due and what’s expired — per person, and rolled up per home for inspection. Policies sent for acknowledgement are signed on screen, so “we circulated it” becomes “they read it”.

4Oversight

See the workforce as a whole

Headcount, pipeline, retention and outstanding actions across the organisation — with incident debriefs feeding back to the individual’s file so patterns surface. And separation of duties is enforced: nobody edits their own record.

Rota & time away

Build the pattern once. Fill the gaps fast.

The rota generates itself from your patterns — and when a gap appears, your own team can offer to cover it before you reach for an agency.

Rota & time away

Rotas break in two places: building them, and repairing them when someone calls in sick at 6am. qualis digital handles both.

Set up your shift types and repeating rotation patterns once, and the rota generates itself. When a gap appears, it’s visible immediately — and your own team can offer to cover it before you reach for an agency.

1Build

Define it once, let it repeat

Set up your shift types and repeating rotation patterns once, and the rota rolls itself forward — editing the pattern edits the future, instead of rebuilding the same grid every fortnight.

2Time away & my rota

Approved against real coverage

Time off is approved with the coverage picture in front of you, not in the dark. And every carer sees their own rota — shifts, pattern and time away — so “what am I on next week?” answers itself.

Coverage overview — month calendar with shifts, gaps needing cover and annual leave
3Coverage & gaps

Gaps surface themselves

Coverage is shown as coverage, and uncovered shifts call themselves out. Your own team can offer to cover or swap — one approval assigns the shift, tracked properly, with requests reaching staff in the feed they already read.

4Rota-driven access

The rota controls access to resident data

Off shift means off the record

Where shift-based access control is switched on, a carer who isn’t on shift loses access to resident records — automatically, based on the rota, re-checked continuously. Managers stay on call. It means “only staff on duty can read care records” is enforced by the system rather than trusted to policy, and it’s driven by the rota you were already maintaining.

HR Hub

The one part of the system your staff will open on a day off.

Their side of the platform — feed, shout-outs, awards, their record, their rota. A team that feels seen stays longer.

HR Hub

Care software is usually something staff are made to use. The Team Hub is the part they want to. It’s their side of the platform: a company feed with shout-outs, polls and announcements, a wall for every person, kudos and awards from colleagues, their own record and documents, their rota and leave — and a directory of who shares their interests.

Recruitment and retention are the hardest problems in social care. A team that feels seen stays longer, and this is where being seen actually happens.

1Their hub

A hub that belongs to the person, not the organisation

Six places, all of them theirs

Feed, My Record, Documents, Hobbies, Rota & Leave, and People. Everything a manager does to a staff record lives elsewhere, in Staff Records. That separation is deliberate — this is the side of the system where staff aren’t being administered, and it’s why they’ll open it.

HR Hub — staff profile with Feed, My Record, Documents, Hobbies, Rota & Leave and People tabs
2The feed

A company feed people actually post to

Updates, shout-outs, questions and polls, posted to the whole company, one home, or an audience you’ve built — with announcements pinned until everyone who needs to see them has. It’s a company feed people actually post to, owned by the organisation.

3Recognition & connection

Recognition, from anyone to anyone

Kudos from anyone to anyone, proper awards for the bigger moments, and a wall where each person’s recognition collects. Birthdays, anniversaries and new starters surface automatically with a one-tap way to respond — so nobody’s moment gets missed.

Kudos — Above & Beyond award on the feed
4Their record & rota

Their record, in their hands

Staff see what the organisation holds on them — contact details, documents, expiry dates — and fix what’s wrong or sign what’s outstanding themselves. Their rota, shifts and leave sit in the same place, so nothing needs a different app or a printout on the wall.

Inspection & reporting

See what an inspector would see — every single day.

A live compliance picture arranged the way your inspectorate arranges it, checks that get fixed provably, and every report drawn from the records you already keep.

Inspection & reporting

Every manager knows the feeling of an inspection being announced and not quite knowing where the gaps are. qualis digital gives each home a standing view of its own compliance, arranged the way its inspectorate arranges it — Ofsted’s judgement areas for children’s services, CQC’s key questions for adult services — drawn live from the work your team is already doing.

Behind that picture sit the checks that keep it honest: build the audits your service actually runs, assign them with names and dates, and every failed check becomes a tracked action with an owner — signed off by a manager, searchable for as long as you need it.

And when the evidence needs to leave the building, it writes itself. KPIs, occupancy, staffing levels, finance, regulatory reports and weekly summaries are drawn straight from the records — every claim traceable to the entry it came from.

Every report, drawn from the records

Reporting is the tax on good record-keeping. qualis digital pays it for you.

1

Report on any thread of the service

KPIs, occupancy, staffing levels, finance, education and employment — and any type of daily entry singled out over any period, for a person, a home or the whole organisation.

2

Written reports draft themselves

Weekly summaries assemble from the records and arrive already drafted, section by section, on a schedule rather than waiting for someone to remember — and you can review every claim against the entry it came from before signing off. Every form carries the Qualis assistant, so the right regulatory reports — built for the right cycle for the right service — can be generated instantly and sent to Ofsted or CQC whenever they’re needed.

Approved, sent, and on the record

A report moves through draft, reviewed and approved — only a manager’s approval gates sending. Once sent, the record shows not just what was written but that it went, and when: the question you’ll be asked six months later.

See what an inspector would see

Not a score out of ten, and not a spreadsheet — a live picture of what’s in place, what’s slipping, and what’s missing.

Alongside the day-to-day Home Diary sits an Overview built for a different question: how would this home stand up to scrutiny? Support plans, risk assessments, open incidents, safeguarding, DBS checks, staff qualifications and the statutory review cycle — each drawn from live data, not a self-assessment somebody filled in last quarter, and each opening into the people it’s about in one click.

The Overview names the gaps against the judgement criteria your inspectorate uses — what’s absent, for which area, right now. And when there are no gaps, it says so: exactly the evidence a manager wants in front of them the week before an inspection.

The checks happen. The findings get fixed. Both are provable.

Build the audits your service actually runs — and turn every failed check into a tracked fix.

Build your own audits, question by question — fire safety walkarounds, COSHH, medication competency, infection control — assigned to a named staff member with a due date, and completed where the problem is. A failed check raises an action with an owner, tracked to completion; findings that aren’t yours to fix are assigned, with maintenance, to a supplier and chased visibly.

Nothing closes without a manager: they review who completed it, see the action summary, and are warned if anything is outstanding before they approve. The whole history stays searchable per home — when an inspector asks how you assure yourselves on infection control, you show them a year of it.

Your data is seen only by the Qualis team and the service providers who process it on our behalf — such as our email and website hosting providers — under contracts that meet UK GDPR requirements. Where a provider stores data outside the UK, we ensure an adequate level of protection through UK adequacy regulations or the International Data Transfer Agreement. We never share your details with third parties for their own marketing.
